Acceptable Use Policy

1. Introduction
This Acceptable Use Policy ("AUP") outlines acceptable use of the WillowVM platform. By using our Services, you agree to use them responsibly and in accordance with this policy. This policy is incorporated into and forms part of our Terms of Service.
2. Intended Use
WillowVM is designed for legitimate small and medium-sized businesses to automate voicemail processing, transcription, classification, and notification delivery.
2.1 Acceptable Uses
- Receiving and processing inbound voicemails from customers and prospects
- Automated transcription and urgency classification of voicemail messages
- SMS and email notification delivery to designated business contacts
- Voicemail review and management through the subscriber portal
- Call forwarding configuration to your dedicated Willow number
WillowVM processes inbound voicemails only. WillowVM does not place outbound calls, send marketing messages, or initiate any contact with callers.
3. Prohibited Content
3.1 Greeting Content Violations (S.H.A.F.T.)
Your voicemail greeting must not contain or promote:
- Sex: Adult content, pornography, escort services, or sexually explicit material
- Hate: Content promoting hatred, discrimination, or violence against any group
- Alcohol: Promotion or sale of alcoholic beverages
- Firearms: Promotion or sale of weapons, ammunition, or explosives
- Tobacco: Promotion or sale of tobacco, vaping, or related products
- Illegal Activity: Anything violating federal, state, or local law
- Harassment: Threatening, abusive, or intimidating content
- Impersonation: Misrepresenting your business identity
- Fraud: Deceptive content designed to mislead callers
- Solicitation of Prohibited Products: Any product or service prohibited under this policy
WillowVM scans greeting content against a curated prohibited-word filter. Greetings that trigger the filter will be rejected and must be revised before the Services can be activated.
4. Prohibited Industries
- Cannabis, CBD, kratom, or paraphernalia
- Gambling, lottery, or casino services
- Payday loans, high-interest lending, debt collection
- Debt consolidation or credit repair
- Cryptocurrency promotions or investment schemes
- Multi-level marketing or pyramid schemes
- Third-party lead generation
- Affiliate marketing (buying/selling consumer data)
- Political campaigns
- Adult content or services
- Prescription medication sales
- Telemarketing or cold outreach operations
WillowVM reserves the right to update this list at any time. Updates will be communicated to active Subscribers via email and reflected in this policy. Continued use of the Services after notification of an industry prohibition constitutes acceptance of the updated list. Subscribers operating in a newly prohibited industry will be given fourteen (14) days to wind down their use of the Services.
5. Notification Contact Rules
5.1 Authorized Contacts Only
Notification contacts must be employees, owners, agents, or authorized representatives of your business. You may not designate notification contacts who are:
- Customers or prospects of your business
- Individuals unaffiliated with your business
- Individuals who have not been informed that they will receive voicemail notifications
- Individuals who have requested to stop receiving notifications
5.2 Contact Accuracy
You are responsible for maintaining accurate notification contact information. If a notification contact's phone number or email changes, you must update it promptly. WillowVM is not responsible for notifications delivered to outdated or incorrect contact information.
5.3 Opt-Out Compliance
If a notification contact replies STOP to an SMS notification or otherwise requests removal, you must remove that contact immediately. Failure to honor opt-out requests is a violation of this policy and may constitute a violation of federal law.
6. Fair Use and Volume Limits
6.1 Intended Volume
WillowVM is designed for standard business voicemail volume. The Services are intended for businesses receiving a reasonable volume of legitimate inbound voicemails consistent with their business type and size.
6.2 Excessive Volume
WillowVM reserves the right to investigate and take action on accounts exhibiting volume patterns inconsistent with normal business use, including but not limited to:
- Sustained volume exceeding 500 voicemails per day per line
- Patterns indicating robocall or auto-dialer traffic being forwarded to the Willow number
- Patterns indicating the Willow number is being used as a call sink, honeypot, or data harvesting tool
- Bulk forwarding of calls from multiple unrelated phone lines to a single Willow number
WillowVM will contact the Subscriber before taking action on excessive volume, except in cases where the volume pattern indicates abuse, fraud, or illegal activity.
7. System Abuse
You may not:
- Use bots, scripts, or automated tools to manipulate the platform
- Attempt to bypass usage limits, rate limits, or access controls
- Share account credentials with unauthorized users
- Attempt to decompile, reverse-engineer, or extract platform code, algorithms, or classification logic
- Make excessive or malicious API requests
- Disrupt platform operations or degrade service for other users
- Use your Willow number for purposes other than receiving voicemails
- Repeatedly submit prohibited greeting content after rejection
- Attempt to access voicemail data belonging to other Subscribers
- Use the Services to circumvent carrier call-blocking or spam filtering
- Forward calls to your Willow number for the purpose of recording conversations without consent
8. Monitoring and Enforcement
8.1 What We Monitor
WillowVM monitors voicemail greeting content (via prohibited-word filter), call volume patterns, account access patterns, notification delivery patterns and opt-out compliance, and system usage for security and abuse detection.
8.2 Enforcement Actions
Violations of this policy will result in enforcement action proportional to the severity of the violation:
- Warning: Minor or first-time deviation — email notice with requirement to correct within 48 hours
- Greeting Removal: Prohibited content detected — greeting reverted to default, Subscriber notified
- Suspension: Moderate or repeated violation — temporary service pause pending resolution
- Termination: Severe, repeated, or willful violations — permanent account closure without refund
- Legal Referral: Illegal activity — report to applicable law enforcement authorities
8.3 Immediate Termination Without Warning
The following violations result in immediate account termination without prior warning:
- Operating in a prohibited industry
- Greeting content containing SHAFT material after initial rejection and warning
- Fraud, impersonation, or identity misrepresentation
- Any illegal activity conducted through or facilitated by the Services
- Deliberate or repeated violation of notification contact opt-out requests
- Use of the Services to facilitate harassment, stalking, or threats
- Sustained abuse of system resources after notification
WillowVM's enforcement decisions are made at our sole discretion. Termination under this section does not entitle the Subscriber to any refund and does not relieve the Subscriber of any outstanding obligations, including Early Termination Fees.
9. Reporting Violations
If you become aware of a violation of this policy, please report it to support@willowvm.com with the subject line "Acceptable Use Violation Report." Include as much detail as possible, including the phone number or business involved, the nature of the violation, and any supporting evidence.
10. Appeals
If your account has been suspended or terminated under this policy, you may appeal by emailing support@willowvm.com with the subject line "Appeal — [Your Business Name]" within seven (7) days of the enforcement action. Include a description of the circumstances and any corrective actions taken. Appeals will be reviewed within five (5) business days. Decisions on appeal are final.
11. Changes to This Policy
WillowVM reserves the right to update this Acceptable Use Policy at any time. Material changes will be communicated to active Subscribers via email. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of the Services after notification of changes constitutes acceptance of the updated policy.
