Rank Capture Grow LLC, operating as WillowVM ("WillowVM," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered voicemail intelligence platform and related services.
By using our Services, you consent to the data practices described in this policy.
Voicemail Data Privacy
Your voicemail recording and any information derived from it (transcription, classification, summary) are used solely to transcribe, classify, deliver, and present your voicemail to the business you called.
We do NOT sell your voicemail recordings or transcripts to third parties. We do NOT use your voicemail content for marketing. We do NOT share your voicemail data with any business other than the one you called.
Information We Collect
From Subscribers (Businesses)
- Account Data: Business name, owner name, email, phone, address, area code
- Payment Data: Payment card type, last 4 digits (full data processed by Stripe)
- Service Configuration: Greeting script or audio, notification contacts, urgency preferences
From Callers
- Phone number (via caller ID)
- Voicemail audio recording
- Derived data: transcription, urgency classification, summary
- Voluntary information provided in the voicemail (name, callback number, etc.)
Collected Automatically
- Call metadata: time, duration, caller ID, disposition
- Processing metadata: transcription timestamps, classification results, notification delivery
- Device information: carrier and general location by area code
How We Use Your Information
For Subscribers: provide and operate the Services, process billing, provision phone numbers, configure voicemail, deliver transcriptions and alerts, provide support, enforce Terms, comply with law.
For Callers: transcribe and classify your voicemail, deliver your message to the business you called, provide callback information, maintain records for service quality, comply with law.
Data Retention
- Voicemail audio and transcripts: Active account + 90 days
- Caller phone numbers: Active account + 1 year
- Subscriber account data: Account duration + 1 year
- Payment records: 7 years
- Provisioning and audit logs: 3 years
You may request deletion of your data by contacting support@willowvm.com, subject to legal retention requirements.
Information Sharing
We share caller voicemail data with the specific business whose phone line was called. We use trusted service providers: Twilio (telecommunications), Deepgram (transcription), Stripe (payments), Supabase (database), Vercel (hosting), SendGrid (email).
We may disclose information when required by law. In a merger or acquisition, information may transfer to the acquiring entity with notice.
We do NOT sell or share personal information for marketing or cross-contextual behavioral advertising.
Data Security
We implement encryption in transit (TLS 1.2+), encryption at rest (AES-256), row-level security controls, access controls with MFA, SOC 2 compliant infrastructure, and audit logging. No method of transmission or storage is 100% secure.
Your Rights
All users may request access, correction, or deletion of their data. California residents have additional rights under the CPRA. Nevada residents may exercise sale opt-out rights under NRS Chapter 603A. Contact support@willowvm.com to exercise any rights.
Children's Privacy
Our Services are not directed to individuals under 18. We do not knowingly collect information from children.
